1) Scope
This policy explains how we process personal data of candidates who apply for roles (e.g., ESL Online Teacher) via e-native.co.za or by communicating with us about recruitment (together, the "Recruitment Services").
2) What data we collect
- Identification & contact: name, email, phone, location/time zone.
- Professional/education: CV/resumé, qualifications (e.g., TEFL/CELTA), work history, references.
- Application content: answers in forms, availability, earliest start, expected rates, equipment/internet details, links (portfolio/video).
- Technical (when using the site): basic log data (IP address, device, browser); only to keep the site secure and deliver the form.
- Optional data you choose to share: anything beyond the above (we don't need sensitive data like health, beliefs — please don't include it).
3) Sources
Primarily you. We may also receive data from referees you name or from public professional profiles you share (e.g., LinkedIn link).
4) Purposes & legal bases (GDPR)
- Assessing your application and communicating with you — Art. 6(1)(b) (steps prior to a contract) and Art. 6(1)(f) (legitimate interest in hiring).
- Organising interviews, demo lessons and onboarding — Art. 6(1)(b), 6(1)(f).
- Record-keeping, security, prevention of abuse — Art. 6(1)(f).
- Talent pool (future openings) — only with your consent (separate checkbox) — Art. 6(1)(a).
If you provide information we didn't ask for, we rely on your consent to process that optional data (you can withdraw it anytime).
5) Sharing your data (processors/recipients)
We don't sell your data. We share it only as needed to run recruitment:
- CRM / applicant tracking: Pipedrive (lead/deal management).
- Communications & files: email/office suite, cloud storage, video tools (e.g., Zoom) and scheduling tools used for interviews.
- IT/hosting & security providers.
All service providers act on our instructions under data-processing terms. We disclose data to authorities only if required by law.
6) International transfers
Some providers may be outside the EEA/UK. Where applicable, we use Standard Contractual Clauses or equivalent safeguards.
7) Retention
- Current recruitment: we keep your data until the recruitment ends, and for a reasonable period thereafter to handle queries or legal claims.
- Talent pool (optional): up to 24 months from consent, unless you withdraw earlier.
- Legal/defence needs: we may keep minimal records for limitation periods.
8) Your rights (GDPR)
You can access, rectify, erase, restrict or object to processing, and port your data. Where we rely on consent, you can withdraw it at any time (it won't affect past lawful processing).
To exercise rights, email careers@e-native.co.za. You also have the right to lodge a complaint with your local data protection authority (in Poland: PUODO).
Note for South African applicants (POPIA)
We aim to align with POPIA principles (lawfulness, minimality, security). You may request access/correction and raise concerns with the Information Regulator (South Africa). Contact us first at careers@e-native.co.za — we'll help.
9) Security
We apply technical and organisational measures appropriate to the risks (access controls, encryption in transit where applicable, least-privilege access). No system is perfect; if we identify a breach affecting you, we'll notify as required by law.
10) Do not include special-category data
Please don't submit sensitive personal data (health, beliefs, union membership, etc.). If such data is unavoidable (e.g., reasonable accommodation), contact us first so we can provide a suitable channel and consent notice.
11) Updates
We may update this policy to reflect changes in our hiring or providers. We'll show the effective date above; material changes will be highlighted on the site.
